Part-Time Grants & Financial Operations Manager

Oregon / or Remote (work in PST)

Part Time

Hours: 12–20 hours/week


Structure: Contract position (90-day trial), with the potential to convert to a part-time employee role.  Due to the nature of the work, this role will require signing a standard confidentiality and non-disclosure agreement.


Compensation: $40–$65/hour, depending on experience

CedarStone Design & Build is an Indigenous-owned design-build firm specializing in mass timber construction, sustainable housing, and workforce development. Our work spans residential and small commercial projects, grant-funded initiatives, and community-centered partnerships focused on long-term health, resilience, and equity.

Role Overview

We are seeking a hands-on, execution-oriented operations professional to build and own our grants administration and financial tracking systems. This role focuses on doing the work—creating simple, usable systems and running them day to day—so company leadership can focus on delivering projects and strategy.

Key Responsibilities

  • Grants (Ownership)

    •  Identify, track, and apply for relevant grants

    • Own grant reporting, compliance, and invoicing

    • Maintain a live grants pipeline and calendar

  • Financial Tracking & Cashflow

    • Build and maintain cashflow tracking using QuickBooks Online data and spreadsheets

    • Create and maintain KPI dashboards

    • Track project budgets and flag risks early

  • Pricing & Cost Visibility (Support Role)

    • Translate expenses, labor, overhead, and shop costs into clear cost models

    • Support leadership with pricing inputs (final pricing decisions remain with CEO)

    • Systems & Coordination

    • Coordinate with bookkeeper and accountant to ensure clean data flow

    • Maintain organized documentation and workflows

 

What This Role Is Not

  • Not a CFO or COO

  • Not responsible for final pricing decisions

  • Not a marketing, outreach, or partnerships role

  • Not meeting-heavy

Working Style & Expectations

  • Comfortable building systems from scratch

  • Clear, concise communicator

  • Strong follow-through and accountability

  • Prefers execution over meetings

  • Meetings:

    • One 30-minute weekly check-in

    • Otherwise primarily asynchronous

Qualifications

  • 4+ years experience in financial operations, grants administration, or project finance

  • Experience building dashboards, trackers, or financial models

  • Familiarity with QuickBooks Online

  • Construction, design-build, or grant-funded organization experience preferred

  • Proficient in Google Sheets or Excel

  • Proficient in AI/ChatGPT

  • Active and managed grants pipeline

  • Cashflow and KPI dashboards in regular use

  • Clear cost visibility informing pricing decisions

  • Reduced financial and administrative load for the CEO

  • Fewer surprises and missed deadlines
